Email notifications

Last Updated 6 months ago

There are two type of email notifications in the platform. Uploaded/created media which is triggered when new media is added to the platform and email notifications to registrants for live/webinar events.

Upload notifications

Uploaded notifications are defined under the Settings Upload Notifications

Here, you can tailor the message and add recipient email addresses which should be notified when new media is uploaded/created.

Event reminders

If you have live functionality on your Quickchannel account, email reminders functionality is included. If you use Quickchannel registration page for your event, you can customize the content of the email(s) sent to the registrants. Go to Settings  Email notifications to enable email reminders.

Important: The email reminders set or changed on account settings will affect both live events already created and any new live events.

There settings describe which emails notifications are sent out for all future live/webinar events.

Live event reminders: before the event

You can enable one or multiple reminders before your event.
Use the on/off toggle to select if an email notification should be active.
You can control when email notifications and reminders are sent and how you style them. Unless you know your sending out registrations links in some other system, you should always have at lease one email notification active prior to the event so the registrant will receive and personal access link to the live/webinar event.

The recommendation is to have Registration confirmation and two reminders active.
Select which emails that should be active by enabling them.

Customize event email reminders

Each email can be individually customized by clicking on "Edit email".

The title of the email and the body text can be edited for all email reminders as well as the scheduling for some of them. The placeholder %NAME% will be populated when such information is collected during registration.

Use placeholders to add information that populates automatically from the created live event that has registration enabled.
%NAME% to add name of the registrant.
%EMAIL% to add registrant’s email address in the e-mail.
%TITLE% to add the title of the live event
%DATE% to add date of the live event
%TIME% Time of the live event
%LINK% to add the unique link to the live event
If name is not collected, it will be empty. If you edit an email, there is a redo and undo function as well as a reset to Quickchannel default.

Preview email reminders

After an email has been edited, you can easily send a test email. However, please note that in the test email, none of the placeholders will be populated.

Furthermore, you can preview all emails with the preview function. Only a section of the email can be edited, i.e. the header and footer are set by Quickchannel including the button with a link to the event.
You can preview the different email notifications by choosing them on the righthand side menu.
